At Scribis, your privacy is our top priority. This Privacy Policy describes how we collect, use, and protect your information. We are committed to transparency, security, and user-centric data sovereignty.
1. Data Collection & Transmission
Scribis is designed to process data locally whenever possible. We distinguish between data that stays on your device and data that is transmitted for cloud processing.
In local mode, all audio transcription is performed directly on your hardware. Your audio files and results never leave your device and are never transmitted to our servers or any third parties.
Data processing in Cloud Mode is categorized by provider type: (1) Integrated Services: We use enterprise-grade AI providers (such as Google Cloud Vertex AI) to deliver default cloud features. (2) User-Supplied API Keys: If you choose to use your own API keys (e.g., OpenAI, OpenRouter), Scribis acts strictly as a client. Data is transmitted directly from your device to the respective provider's endpoint. We do not intermediate, monitor, or store this data on our servers.
2. Data Types (App Privacy Label)
To ensure app stability and fulfill licensing requirements, we may collect minimal data that does not directly identify you personally unless provided for support. We retain anonymized usage data and diagnostics only for as long as necessary to fulfill the purposes outlined in this policy or as required by law.
- Identifiers: We collect hardware identifiers (Machine ID), computer names, and session identifiers to manage licensing, facilitate device seat binding, and prevent abuse of cloud services.
- Purchase Information: We process encrypted transaction receipts from third-party stores (Apple App Store, Microsoft Store) to validate your subscription or lifetime license status.
- Security & Anti-Abuse: To prevent trial abuse and ensure license integrity, we monitor hardware-bound activation history and system clock consistency to detect local lease manipulation.
- Usage Data: We collect high-level, anonymized usage statistics and feature adoption metrics to optimize the user experience.
- Diagnostics: We collect crash logs and performance metrics to identify and fix technical issues.
- API Keys: Your private API keys are stored securely on your local device. We have no technical means to access or retrieve these keys.
3. System Audio & Screen Capture Privacy
Scribis requests macOS screen recording permissions for the sole purpose of capturing system loopback audio to transcribe system sound (such as virtual meetings). We do not record, collect, or store any visual or video data from your screen. Captured audio is processed locally on your device by default, and text transcripts are stored exclusively in your local storage unless you explicitly enable cloud-based transcription features.
Our capture pipeline only hooks into the audio output streams. Visual frames and screen pixels are completely bypassed and are never read or stored.
Audio stream transcription is processed in a secure sandboxed local context. Transcripts remain under your exclusive local control.
4. Third-Party Service Providers
When using Cloud Mode or specific AI features, your data is processed by the configuration you select. We encourage you to review their respective privacy policies:
- Default Provider: Google Cloud Vertex AI is our primary integrated provider for default cloud services.
- User-Configured Providers: When using your own API keys, your data is subject to the policies of the services you have configured, such as OpenAI or OpenRouter.
5. Children's Privacy
Our services are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take immediate steps to delete such information from our records.
6. Data Control & Deletion
You maintain full control over your data within Scribis. You can manage your information through the following methods:
- Clear Local Data: You can immediately delete all local transcription history, notes, and preferences through the App Settings.
- Revoke Cloud Consent: You can switch to Local Mode at any time to prevent further data transmission to cloud providers.
- Account Deletion: If you have created a Scribis account, you can request full account and data deletion via the settings or by contacting our support team. Note that certain licensing records (such as hardware-bound trial history) may be retained to prevent service abuse.
- Device Management: You can deactivate device seats at any time. Please note that a 7-day cooling period may apply to deactivated seats before they can be reassigned to a new device.
